How DHDO collects, uses, and protects your information.
DHDO — Digital Home Documentation & Organization (“DHDO,” “we,” “us,” or “our”), a division of Bradberry Construction & Design, provides three-dimensional property documentation and related organizational services in South Louisiana. This Privacy Policy explains what information we collect, how we use and share it, how we protect it, and the choices available to you. It applies to dhdoscan.com, the DHDO Client Portal at portal.dhdoscan.com, and the services we provide.
Information you give us. When you request a scan, contact us, or schedule an appointment, we collect your name, email address, phone number, property address, and any scheduling preferences or notes you provide.
Documentation data. When we scan a property, we create a three-dimensional digital record and may catalog assets you ask us to tag, including make, model, serial number, purchase date, and any receipts or details you share with us (“Client Home Documentation”).
Portal access data. When you access the DHDO Client Portal, we collect the information needed to verify your identity and grant access to your documentation, such as your magic-link token, login timestamp, and general session activity. The Portal does not require you to create or remember a traditional password.
Automatically collected. Like most websites, we collect basic usage data (pages visited, device and browser type, approximate location) through cookies and analytics tools to understand how the site is used and to keep it secure.
We do not intend to collect Social Security numbers, driver’s license or state identification numbers, passport numbers, financial account usernames or passwords, full payment card numbers or security codes, medical records, or personal information from children under 13 through our website or standard intake process. Before a scan, clients are responsible for removing, concealing, or identifying any medications, financial documents, identification documents, security codes, firearms, safes, or other sensitive items they do not want captured.
We use your information to schedule and deliver your documentation service, communicate with you about your scan and account, provide access to your Client Portal, respond to inquiries, organize and tag Client Home Documentation (including with the assistance of software and artificial-intelligence tools described below), improve our website and services, and meet legal or security obligations.
We do not sell your personal information or your Client Home Documentation. We share information only with service providers that help us operate — for example, Matterport or similar scanning and hosting platforms, website hosting, secure database and portal infrastructure, email delivery, payment processing, and website analytics and bot-protection tools — and only as needed to provide the service.
We will not share your Client Home Documentation with law firms, insurance agents, insurance carriers, adjusters, family members, contractors, appraisers, realtors, or estate planners unless you direct us to, except where disclosure is required by law or necessary for our authorized vendors to perform services on our behalf.
Sharing through the Client Portal. The Client Portal lets you grant an insurance agent or other party of your choosing secure, read-only access to your Client Home Documentation through a one-click invitation. You decide who receives access, and you may revoke it at any time through the Portal. A party you’ve granted access to may add supporting materials, such as claim-related estimates or paperwork, to your record with your permission. DHDO does not grant or expand this access on its own, and no agent or third party ever sees a record you have not chosen to share.
We may also disclose information if required by law, court order, or legal process, or to protect our rights, safety, or property.
Your documentation is stored securely off-site in the cloud and accessed through a private, magic-link login, with two-factor authentication available on your account. An additional password can be added to an individual scan on request for your most sensitive records. Your Client Home Documentation is hosted redundantly across Matterport’s secure cloud infrastructure and DHDO’s own systems, which are independently reviewed for security. No method of storage or transmission is completely secure, but we work to keep your data protected.
How long DHDO keeps your Client Home Documentation depends on your Annual Record Care status. While Annual Record Care is active on your account, your 3D scan, asset inventory, and related documentation remain hosted and accessible through your Client Portal.
Annual Record Care runs in twelve-month terms. Some packages, such as the Guided Property Record, include your first year of Annual Record Care with your scan; other packages may add it separately, as described in your service agreement or rate card.
If your Annual Record Care term ends and is not renewed, you have thirty (30) days from the end of that term to renew before we take further action. If you do not renew within that thirty-day window, DHDO will delete your hosted scan and remove your Portal access. This does not affect the physical hard drive or USB copy of your original scan delivered to you at project completion — that copy remains yours to keep, and DHDO has no ability to access or delete it remotely.
For projects delivered without Annual Record Care, such as scan-only service, DHDO retains your documentation only as needed to complete delivery, plus a limited period afterward for quality assurance and administrative purposes, after which it is deleted from our active systems.
We use cookies and analytics tools (including Google Analytics via Google Tag Manager) to measure site usage, and bot-protection tools (Cloudflare Turnstile) to help secure our forms. When you first visit our website, we display a short cookie notice letting you know about this use and linking to this Policy. You can control cookies through your browser settings at any time; disabling them may affect how parts of the site work.
DHDO may use software tools, automation, or artificial-intelligence features — including third-party AI services such as Google’s Gemini — to help organize, tag, and manage Client Home Documentation, such as identifying and labeling assets by make, model, or category.
The Client Portal includes an AI-assisted feature that lets you add new items to your inventory by submitting a photo, which the AI uses to suggest a name, brand, model, and similar details for your review before saving.
These tools support DHDO’s service delivery only and are subject to the confidentiality and security terms of our vendor agreements. DHDO will not use identifiable Client Home Documentation to train public or third-party artificial-intelligence models without your separate written consent.
You may contact us to request access to, correction of, deletion of, or a copy of the information we hold about you, including your Client Home Documentation, and you may opt out of marketing messages at any time. You may also ask us to restrict certain sharing of your information. We aim to respond within thirty (30) days of a verifiable request. We may need to verify your identity before fulfilling a request involving Client Home Documentation, property records, or Portal access, and we may decline or limit a request where permitted or required by law.
Our services are directed to adults, and we do not knowingly collect personal information from children under 13 through our website. Home scans may incidentally capture rooms, belongings, or images associated with minors when an adult client authorizes the scan. The client authorizing the scan is responsible for removing, concealing, or excluding anything involving children that they do not want captured. Consent regarding minors is further addressed in DHDO’s Client Scan Authorization and Data Consent Form, completed prior to each on-site visit.
DHDO provides independent digital home documentation and organization services only. DHDO is not a law firm, insurance company, insurance agency, public adjuster, appraiser, or licensed home inspector, and does not adjust claims, determine or assign insurance values, or provide legal, tax, or insurance advice. DHDO does not guarantee coverage, claim outcomes, evidentiary admissibility, or premium discounts. Clients should consult their own licensed professional for advice specific to their situation.
DHDO will not use identifiable Client Home Documentation, interior home images, or private client records in public marketing, demonstrations, case studies, testimonials, or social media without your separate written permission.
We may update this policy from time to time. When we do, we will revise the “Last Updated” date above, and material changes will be reflected on this page.
